Rentfocus handles privacy-sensitive information with care. This privacy policy outlines how we manage your personal data.
What data does Rentfocus collect?
The following data is collected by Rentfocus when you sign a rental agreement with one of our clients (you are a prospective tenant):
Your name, street name, house number, any additions, and other contact details such as phone number and email address;
Your IBAN;
Your ID (citizen service number [BSN] obscured);
Your income details;
The signed rental agreement;
Any required housing permit.
The following data is collected by Rentfocus when you act as guarantor for one of our prospective tenants:
Your name, street name, house number, any additions, and other contact details such as phone number and email address;
Your ID (BSN obscured);
Your income details.
The following data is collected by Rentfocus when you instruct us to rent or sell a property (you are a client):
Your name, street name, house number, any additions, and other contact details such as phone number and email address;
Your IBAN;
Your ID (BSN obscured);
The signed management agreement.
What does Rentfocus use this data for?
If you are a prospective tenant or a client, Rentfocus uses your data to execute the signed rental or management agreement.
If you are a guarantor, Rentfocus uses your data to provide assurance for the performance of the rental agreement between our client and the prospective tenant for whom you are acting as guarantor.
Data storage
All data is stored in our Informant software system under your personal, anonymized client or tenant number.
Who has access to your data?
If you are a prospective tenant: only Rentfocus employees and the designated property manager have direct access to your data. Your data is also shared with the landlord for approval as a contracting party. In specific cases, certain data may be shared with third parties:
Your address details, phone number, and email address may be shared with our contractor(s) in the event of maintenance issues at the rented property;
Your address details, phone number, and email address may be shared with our lawyer in the event of a dispute;
Your address details, phone number, email address, income data, ID, rental agreement, and any housing permit may be shared with your municipality at its request.
If you are a guarantor: only Rentfocus employees and the designated property manager have direct access to your data. In specific cases, certain data may be shared with third parties:
Your address details, phone number, and email address may be shared with a contracted bailiff in the case of payment arrears;
Your address details, phone number, and email address may be shared with our lawyer in the event of a dispute.
If you are a client: only Rentfocus employees and the designated property manager have direct access to your data. Your data is generally not shared with third parties, except for your name (due to your position as a contracting party). Only in the case of a dispute between you and our office will we share your address details, phone number, and email address with our lawyer.
Commercial purposes
Rentfocus will never share your personal data with third parties for commercial or marketing purposes.
Security and retention period
Rentfocus ensures that your data is stored securely and is adequately protected against unauthorized use, access, alteration, or unlawful destruction. Your data will be retained as long as necessary for the purposes mentioned above, or as required by law, or for the resolution of potential disputes (in accordance with statutory retention periods).
Access, correction, and deletion
Requests for access, correction, or deletion of your data can be submitted in writing to our office via info@Rentfocus.nl. Rentfocus will respond to your request within four weeks. We will delete your personal data as soon as possible unless the law requires us to retain the data or there are other compelling reasons against deletion.
